Grants and Contracts Coordinator

SUPERVISOR:
Grants and Contract Manager

SUMMARY
Coordinate all technical aspects of grantmaking and contracting activities for the International Youth Foundation, providing guidance with policies, procedures and analytical information to staff as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Provide all internal coordination related to grants and contracts administration, ensuring compliance with IYF standards, policies and procedures and providing technical assistance with agreement preparation, internal clearance procedures, agreement monitoring and payment, serving as the liaison between program and finance staff as needed.
  2. Provide orientation to the Grants and Contracts Policy and Procedures for all new staff.
  3. Maintain all systems related to Grants and Contracts management, including the GIFTS database and the electronic and paper filing systems.
  4. Assist the Director of Compliance with Due Diligence, reviewing governance and legal documents of potential grantees or consultants.
  5. Prepare grants and contract agreements for approved projects, working closely with the Grants and Contracts Manager to prepare agreement terms and special conditions.
  6. Maintain agreement monitoring systems; coordinating receipt and review of reports and invoices for all program areas, ensuring that disbursements are requested and processed in a timely manner; submit disbursement projections on a weekly basis
  7. Provide staff with current and accurate information about agreements terms and payment history.
  8. Work with the Grants and Contracts Manager to conduct financial analysis on reports from corporate funded grantee organizations.
  9. Provide statistical information about grantmaking and contracting as requested on a quarterly, annual and ad hoc basis. This includes grant information for the Board Meetings and the Annual Report.
  10. Send declination postcards or e-mails to all unsolicited proposal or partnership requests.
  11. Work with the Grants and Contracts Manager to ensure that workflows, templates and forms are up to date.
  12. Perform file synchronization, ensuring the timely close out and evaluation of completed grants and contracts.

Analytical ability – identifies and establishes priorities; exercise sound judgment related to providing support and assistance.

Problem Solving – identifies problems in a timely manner and makes recommendations to solving problems, works well in group problem solving situations.

Technical Skills – strong understanding of grantmaking and monitoring process and strong skills in GIFTS grantmaking software.

QUALIFICATIONS
To perform the job successfully, an individual must be able to perform each essential duty satisfactorily and meet the requirements listed below.

Bachelor’s degree in Liberal Arts or 1-3 years work experience with grantmaking foundations or youth programs.

Establish effective working relationships with employees at all levels of the organization

Communications skills must be effective and courteous, requiring high integrity when dealing with access to restricted and/or confidential information.

Excellent written and verbal communication skills in English. Ability to conduct business conversation in a second language is preferred.

Experienced in the use of the full Microsoft Office products including Word, Excel, Outlook, and PowerPoint.
